If you’re editing a WordPress page full of text and images, it can, at first glance be a bit tricky to know where all the editing tools and functions are. WordPress makes that easy with some cool tools that guide you as you work.
Here’s some tips on the most useful workflow tools built into the WordPress block editor.
The document overview block list
The document overview block list is my go-to tool for finding my way around a busy page.
The list gives you a visual list of all blocks on the page, and lets you easily:
- move (drag and drop) blocks up and down the page
- remove (delete) blocks
- select a block to open it for editing
To open the document overview block list, click the document overview block list button (top-left of your screen)
The button turns black and the list opens on the left of the screen.
Locate a block
Select a block on your page and it highlights in blue in the list (as pictured).
Hover over a block in the list, it is highlighted in a blue outline on the page, and on the list three option dots appear to its right.
Edit a block
Select a block on the list, it highlights in a blue outline on the page and its editing controls open on the page.
Click the three buttons to the right of block on the list and an extra range of editing options become available.
Move a block
Click and hold a block on the list. Drag the block up or down the list to where required and the block also moves on the page to its new location.
Remove (delete) a block
- Select a block.
- Click the three buttons to the right of block on the list.
- Select Remove block.
- It is deleted from the list and from the page.
Hide and show settings
When you a select a block its editing settings open on the right of the page.
If you prefer the page to be free of distractions to allow you, for example, to simply create or edit text, you can quickly hide those settings.
At the top right of the page, click the Settings button. The right-hand settings disappear.
To show settings again, click the button The settings appear.
Focus on one block
Another good way to remove distractions, if you want to focus on one block, is to use Spotlight mode.
Spotlight mode greys out all blocks apart from the one you are working on.
To access it, click the three Options dots at the very top-right of the page and select Spotlight mode from the list that appears.
Hide all settings for distraction free writing
WordPress screen cleverly describes the benefit of this setting as ‘Write with calmness’. It hides all settings (top and right of screen), letting you write freely on a blank screen.
To access it, click the three Options dots at the very top-right of the page and select Distraction free from the list that appears.
Note: Distraction free mode will hide the three Options dots. To display them again, simply hover your cursor over the top-right of the screen where they are hidden.
Move floating editing toolbar
When you select a block to edit, its editing functions appear in two places:
- a toolbar directly above it
- a sidebar on the right of the page.
The toolbar floating above the block can sometimes get in the way and obscure other blocks. You can easily move and stick it to the top of the page.
To do this:
- Click the three Options dots at the top right of the page and select Top toolbar.
